2. Processed data
When using the service, registration data, login data, communication content, chat messages, uploaded files, technical log data, payment and billing information, and usage-related metadata may be processed.
This may also include content that users voluntarily provide in chats, projects, image requests, audio requests, or file uploads.
3. Purposes of processing
Processing is carried out in particular to provide the service, authenticate users, manage workspaces, process payments and billing, prevent abuse, analyze stability and errors, and handle support requests.
Content may also be processed to technically provide AI functions such as chat responses, web research, image generation, audio output, or file-related analysis.
4. Legal bases
Where personal data is processed for the performance of a contract or for steps prior to entering into a contract, the legal basis is Art. 6(1)(b) GDPR.
Where processing is necessary to comply with legal obligations, the legal basis is Art. 6(1)(c) GDPR. In other cases, processing may rely on legitimate interests under Art. 6(1)(f) GDPR, for example for the security, stability, and further development of the service.
5. Payment processing
External payment providers may be used to process orders, recurring plans, renewals, add-ons, or invoices.
Payment data is processed only to the extent necessary for purchase, billing, fraud prevention, and contract administration.
6. Use of AI and infrastructure providers
External infrastructure and AI providers may be used to technically provide chat, research, image, audio, or file features. To the extent technically necessary, content from user requests may be transmitted to these providers.
Please do not enter sensitive or confidential content into the service without prior review and appropriate organizational safeguards.
7. Storage period
Personal data is stored only for as long as necessary for the stated purposes or for as long as statutory retention obligations apply. Chat content, uploads, and usage data may be retained for different periods depending on account status, workspace settings, support cases, or legal requirements.
8. Recipients and third-country transfers
Recipients may include hosting, email, analytics, payment, security, and AI service providers where their use is necessary for the operation of V8Chat.
Where data is transferred to third countries, this is done only in compliance with legal requirements, for example on the basis of an adequacy decision or appropriate safeguards.
9. Data subject rights
Subject to the applicable legal requirements, data subjects have the right to access, rectification, erasure, restriction of processing, data portability, and objection to certain processing.
They also have the right to lodge a complaint with a competent data protection supervisory authority.
10. Cookies and consent management
V8Chat uses technically required cookies and similar storage technologies to provide language settings, sign-in status, security, and stable website delivery. This processing is required to operate the service.
Optional categories such as analytics or marketing are only enabled after users have given consent through the consent banner. The selection can be changed or withdrawn at any time through the cookie settings.
11. Security
V8Chat uses technical and organizational measures to protect data against loss, misuse, and unauthorized access. However, complete security of internet-based transmissions cannot be guaranteed.
